What Should You Know Before Your Next Shoot?

When you need to order PRODUCT PHOTOGRAPHY SERVICES, it’s important to have some clear guidelines, in order to avoid any unnecessary mistakes which could be costly. For more about this please read this ARTICLE

2. Get A Proposal

A provisional proposal is generated containing the studio address, proposed shot list, project deliverables, total price, and turnaround time. Once submitted, we’ll review and ask additional questions if needed as the total price and turnaround time could change depending on specifics. When everything is clear we’ll send you a final proposal to confirm the booking.

Why A Provisional Proposal First?

After filling out the intake form we take the time to review the proposal as turnaround time and costing can change depending on the amount of images required and the type of products. This is common when dealing with bulk order requests of 100+ images or when dealing with oversized or complex item.

Once we review your intake form, we will send you a final proposal with all the necessary information. Usually, it can take up to 1 business day.

We do always recommend taking test shots for oversized or complex items.

Important note:
You can always request edits to the proposal if the provided quote or the shot list requires adjustments.

3. Send Your Products

Once you accept the proposal, deliver the items to our studio via drop-off or delivery using any of the courier providers.

‍Drop off time: Mon – Fri: 10:00 AM – 5:00 PM.

Please do not send or drop off or ship your products before you request a shoot and accept the proposal. Make sure all the items have been included.

Shipping Options

You have two shipping options:

You can schedule a drop-off of your product(s) at our studios.
You can generate a shipping label with the shipping service of your choice and provide us with the tracking number.

Important notes:

Please do not send or drop off or ship your products before you fill out the shoot request and accept the proposal.
Make sure that you have the order number specified in the package you are shipping or dropping off
Please note, Prophoto is not responsible for lost, stolen, misdelivered, or damaged packages and products prior to their delivery to our studio or for packages & products once they have left our studio. The product is considered “delivered” when you receive a delivery confirmation email or WhatsApp from the Prophoto Team.
Once we receive the items, we review the total number of products and send out the invoice. Photos of the items that were not included in the original shipping will be included in a separate invoice.

Drop off & Pick ups

Drop off: Please drop off your product(s) only once you’ve received and accepted the proposal.

Note: Once we have received your products, we confirm the number of the arrived items in accordance with the proposal. If items are missing or there are extra, the proposal and the invoice will be adjusted before we move forward with the project.

Pick up: Once you’ve approved the final shots, you’re able to schedule a pickup from our studio Please, give us a 2-hour notice via Phone or WhatsApp before you come.

Sat and Sun: Closed

Important note for order pick up:
Please do not pick up the product(s) before you approve the images! Due to our policy, we hold the products up to 5 business days after the order has been completed to have an opportunity to reshoot the images if something went wrong. Unfortunately, we are not able to accept reshoot requests if we don’t have the actual product(s) in the studio.

Return Shipping Options

You have a few options to get your product(s) back:

You can schedule a pick-up from our studio.
You can send us a prepaid return label for your shipment.

4. Process Your Delivery

After receiving your products, we’ll confirm the total number of items delivered. Sometimes, we receive fewer items than expected or we have to shoot more images than requested. So, we reach out to you to clarify the details and make changes if needed. After this, we will send the invoice.

5. We Take Test Shots If Required

If you are a new client or have a complex order, we suggest ordering test shots. Test photos are a great way to confirm guidelines, image quality, angles, lighting, and other details. It helps to align the imagery to your expectations.

Test shots are FREE but are limited to 10 images.

Why You Need To Shoot Test Shots

6. Make Payment

Good news, we’re halfway there. Products are received and verified, test images are made and approved, and the invoice is sent to you. Once you make the payment, we move to the shooting stage. Payments will be made via eft and banking details can be found on the invoice received.

For orders under R20 000, we require either full payment upfront or 50% upfront and 50% upon completion of the project. We do not accept payment terms for orders under R20 000. This policy is in place to ensure timely completion of projects and efficient use of our resources.

For orders over R20 000, we may consider payment terms subject to prior agreement and approval. In such cases, payment terms will be outlined in writing and agreed upon by both parties before any work is initiated.

Late Payment: If payment is not received within the agreed-upon timeframe, we reserve the right to pause or terminate work until payment is received.

Refunds

We do not offer refunds for work already completed. Once the photography session has taken place and the images have been delivered to the client, all sales are final. We will work with you to ensure your satisfaction and make any necessary revisions, but we do not offer refunds for completed work.

7. We Shoot & Retouch Your Images

We start shooting your project the next business day since the payment is made. Order turnaround time is standardized, but it may be increased due to the high volume of orders. In such cases, we’ll inform you within the proposal. UP TO 10 BUSINESS DAYS SINCE WE RECEIVE THE PRODUCTS AND THE PAYMENT.

8. Approve The Images

Once we’re done with the images, you will get a link to approve and download them. You can also request edits within 5 business days of receiving the link.

How To Determine If An Image Is High Quality Or Not

9. Request Revisions If Required

All revision requests must be made within 5 business days after we receive the images. After 5 business days, all revisions will be paid.‍We take up to 2 business days to assess your request. We’ll let you know if the edits can be made in retouching or need a reshoot, and if they are paid or free of charge. Retouching edits can take up to 3 business days. Reshoots might need the standard turnaround time of 8 business days.

10. Return The Products

Here we are. All done, reviewed, and approved. Now, you can request a product return by scheduling a pickup from our studio.

Whats the turnaround time?

We start shooting your project the next business day since the payment is made. We take up to 10 business days to deliver up to 100 images images since we receive the products and the payment.

Do You Offer Discounts?

Yes, we do! We have a per-image fixed for each category of service (standard photo, group photo, hand model photo, etc), However, discounts can be applied on bulk orders. See bulk rates

How To Ship Products?

Can I Be Present During The Shoot?

Unfortunately, no. Our production model is built around efficiency, remote coordination, and fixed pricing. We have introduced the necessary tools to support effective online collaboration. You can request a test shoot for free before booking a shoot.

Can you shoot at my business premises?

No, all shoots are conducted at Prophoto studio for effective and efficient production, except for oversized & complex items (e.g., couches, beds), which may be shot at your business premises for an additional cost.

Is Retouching Included?

Yes, standard retouching is included for every image you order.

Do You Accept Revisions?

Yes, a maximum of 1 revision is allowed within the first 5 business days after the delivery of images. Any revisions requested after the stipulated window will be charged.

Is This Service Offered Nationwide?

We do, however, our studio is based in Johannesburg. If you’re out of Gauteng, you can get the products shipped to our studio and shipped back at your own cost.

Will My Products Be Returned?

You can schedule a pick-up from our studio.
You also have the option to make a return request, where we will take the responsibility of a return ourselves. This happens in individual cases if special arrangements are made.
If you don’t need your products back, you simply do not make a return shipping request.

Do you shoot any size product?

Yes, we shoot products of all sizes. Items measuring 800mm x 800mm or smaller will be charged at the regular Prophoto rates. However, for products larger than 800mm x 800mm, a custom rate will be determined based on the size, complexity, and whether the shoot needs to take place at the client’s premises.
